February 3 2005

In attendance:

KWhitby, Jane Michaud, Kim Kilmartin, MPelegrino (this is 2 from

Charlotte,1 from Williston and 1 from Hinesburg)...suggest we reinforce need

that 1 town rep from each town is supposed to be at the meeting.

Karen reported on attendance/success of College Panel night...about

150...good turnout.  Problem came with desserts..(none showed up where the panel was being

held, the normal auditorium...some were discovered dropped by the gym, where

a basketball game was being held).... Discussion ensued re: clear communication, town reps are supposed to

call "volunteers" listed in the membership directory, etc not the same  volunteers

all the time...and town reps are not expected to do the food themselves. Apparently in the past town reps

have done themselves and  I have to say that people really want to be called....this is their way of

contributing, so we need to use the directories for our Friends needs andnot rely on the same people.

Also, we discussed that next year, maybe desserts are not necessary...but we

could have used more decaf  (I made 40 cups...and it all went!)...

We also discussed where all the files might be for all the events...so  that

chair/co chairs know how to go about these events...Dennis apparently  has

them and I have emailed him to drop them off in the office or bring to

thenext meeting, where we can get them to appropriate chairs. too much

time is spent reinventing the wheel.

Jane reported on her delight that so many people had submitted apps

for the grant requests...the fiduciary committee will be meeting this week to decide

on applicants requests.  Jane has done a great job assembling this

with Amy Bergers' help who spearheaded the project last year.

Discussion on some appreciation luncheon/mosaic or patio furniture in

Val's name...someone needs to step forward and get something going on her

behalf...many ideas but a coordinator is needed.
